1. PURPOSE

The purpose of this privacy policy is to let users of reannz.co.nz (the “Site”) know when we collect personal information and what we do with it.  We do not use, share or transfer personal information in connection with the Site except as set out in this policy.

COLLECTION, STORAGE AND USE

2. NO NEED TO DISCLOSE PERSONAL INFORMATION

The Site can be viewed without the need to disclose any personal information to us.

3. YOUR DISCLOSURE OF PERSONAL INFORMATION

You may however, choose to disclose personal information when adding material to the Site in the instances shown in the table below. Such information will be viewable by the Site administrators, certain REANNZ  staff and contractors (including third parties providing services related to the administration, improvement, and/or securing of the Site and the information it contains ("Third Party Contractors")).

4. HOLDING INFORMATION

Information (including personal information) that you provide to REANNZ in electronic form will be held by us, and may be shared with, and held by, Third Party Contractors to the extent necessary for the services they provide related to the administration, improvement, and/or securing of REANNZ’s ICT systems, the Site, and the information the Site contains.

5. SECURITY INFORMATION

We will store and keep your personal information secure in accordance with the Privacy Act 2020. 

We take all reasonable steps to ensure the personal information we collect is protected against loss, misuse, unauthorised access, modification and disclosure using a range of physical, technical and procedural measures.

Information (including personal information) that you provide to REANNZ via the Site will generally be held in electronic form on our, or our service providers’ secure servers.  We have information security policies and standards and ensure that our Third-Party Contractors have information security policies and standards, to appropriately limit access to, and use of, data on those servers.

All of our employees, contractors (including Third Party Contractors) that process information on our behalf are required to maintain the confidentiality of information (including personal information) accessed by them.

6. RETENTION OF PERSONAL INFORMATION

We will only retain personal information for as long as necessary to achieve the purpose for which it was collected.

7. USE OF PERSONAL INFORMATION

We will generally only use personal information provided to us through the Site for the purpose you provided it (e.g., to administer, evaluate and improve the Site, to improve our services, or to action or respond to the information provided). We may also use personal information provided to us through the Site for other reasons permitted under the Privacy Act (e.g., with your consent, for a directly related purpose, or where the law permits or requires it).

8. FEEDBACK

Feedback is important and is used to evaluate and improve the Site. If you provide feedback on the Site directly to REANNZ via the supplied email address, that feedback will be sent to appropriate REANNZ staff. We may pass on relevant comments to other people within REANNZ who administer, have contributed content to, or are otherwise interested in, the Site. This could include your email address and other identifying information.

STATISTICAL INFORMATION AND COOKIES

9. STATISTICAL INFORMATION COLLECTED

We may collect statistical information about your visit to help us improve the Site. We use Google Analytics for tracking usage of the Site. Details on the collection and processing of data by Google Analytics can be found here: https://policies.google.com/technologies/partner-sites. This information is aggregated and non-personally identifying. It includes:

  • your IP address;

  • the search terms you used;

  • the pages you accessed on our Site and the links you clicked on;

  • the date and time you visited the site;

  • the referring site (if any) through which you clicked through to this Site;

  • your operating system;

  • the type of web browser you use; and

  • other incidental matters such as screen resolution and the language setting of your browser.


10. USE OF STATISTICAL INFORMATION

The statistical information referred to above will be viewable by Site administrators and certain other REANNZ staff. It may also be shared with other government agencies.

11. COOKIES

This Site generates persistent session cookies for the purpose of authentication and monitoring Site usage. The cookies do not collect personal information. You can disable them or clear them out of the web browser you are using to view this Site without affecting your ability to use the Site.

12. THIRD PARTY TOOLS

If you choose to subscribe to receive REANNZ newsletters and relevant updates, or choose to provide feedback during our customer satisfaction surveys, we will use MailChimp and SurveyMonkey to help us manage this process. Appropriate licences are in place to ensure that the information provided is protected. You can request to be removed from our mailing lists at any time, please contact us or select unsubscribe. We will continue to monitor the use of these tools and ensure that they remain safe and reputable places to hold this information. RECORDS AND DISCLOSURE STATEMENT

13. DISCLOSURE OF INFORMATION

We will generally not share personal information that is provided or collected through the Site, unless it is necessary to do so for the purpose for which you gave us the information (e.g., to investigate a complaint) or where you consent. We will not otherwise disclose personal information provided or collected through the Site unless required or otherwise permitted by law.

14. PUBLIC RECORDS, OFFICIAL INFORMATION AND PARLIAMENT

Your emails and contributions to the Site may constitute public records and be retained to the extent required by the Public Records Act 2005. REANNZ may also be required to disclose those materials under the Official Information Act 1982 or to a Parliamentary Select Committee or Parliament in response to a Parliamentary Question.

RIGHTS OF ACCESS AND CORRECTION

15. YOUR RIGHTS

Under the Privacy Act 2000, you have the right to access and to request correction of any of your personal information provided to REANNZ in connection with your use of this Site. If you would like to see the personal information relating to you that REANNZ  has stored, or to change such personal information, or if you have any concerns regarding your privacy, please contact us at the address set out below. REANNZ may require proof of your identity before being able to provide you with any personal information.
